Document and Image Management

How long has it been since the exclamation was uttered, “Where are the Contract and Land Lease documents? They aren’t in the file!” Probably just yesterday or perhaps today. Solve these nagging document and image management problems with database technology from ENSYTE.

Imagine having all of Your critical Contract, Lease and other business documents readily available in electronic format for accessing and viewing  over the company's IT network or over the Internet, if enabled.  That is just what the ENSYTE system provides.  Any type of document, scanned image or graphic can be moved to secure database storage and retrieved easily with a couple of clicks of the mouse button.

The process starts with a click on the "Action" menu option on a screen.  Then click on the "Upload" option which will present the 1st or Top screen, right.  this screen will allow the User to navigate the IT network or the workstation drive to locate the document or image.  Select the document or image and click the Upload button.  The uploaded file will be referenced to the business object currently on the screen.  Thus, files referenced to Contract "A" will always appear for viewing when Contract "A" is on the OGCIS Contract screen.

To View a document or image, under the "View"' menu option, select "View Document" and a screen, 2nd and middle, right, will appear.  Highlight the file and click the View button and the appropriate program will open the file.  When the file is returned, or closed, the program will detect if the User has attempted to change the document.  If so, a message will appear asking if the User wishes to replace the old file with the new one.  If the answer is Yes, the User will be prompted for a security password.  Only specific personnel will  be allowed to change a document once it has been placed into storage.

The 3rd screen is an example of an image that was setup in the LANDTRAC system to identify the Play and Prospect area for investigating available Land Lease positions.  In this case, the image was created from from an Internet map and annotated with the Prospect Area. 

The process is simple and powerful at the same time.
